BUSINESS ADMINISTRATION APPRENTICE/OFFICE JUNIOR - 1



Chessington

To provide administrative support to the Sales team as well as general support to the team as required.

Summary of Main Responsibilities and Activities:

  • Answer/ field incoming telephone calls
  • Open, distribute and send out post
  • Regularly check and action enquiries sent to the info@ and sales@ email addresses and internet enquiries
  • Maintain an effective stationery system and place orders for stationery/ equipment as required
  • Print and issue CPD certificates to clients
  • Prepare literature folders and billing packs for Sales department
  • Print relevant specifications and drawings when requested
  • Ensure that the Projects database is kept up-to-date on a daily basis and data entered accurately
  • Accurately input invoice values into the Forecast spreadsheet
  • Provide Modusat quotations for clients using Procall
  • Reconcile credit card statements with receipts and forward to Promentum for processing
  • Draft correspondence on behalf of the Company as required or requested
  • Provide cover for the Sales Coordinator as and when required
  • Undertake Internet research and collate information (Google etc)
  • Regularly audit and order-in sufficient kitchen products and refreshments
  • File hard copies of documents
  • Manage and record holiday requests within the Sales team, ensuring that there is adequate cover within the team, the line-manager is aware of holiday requested and the employee is aware of how many days they have left
  • Manage and record expense claims ensuring that these are authorised by the appropriate person and receipts filed/ payment made
  • Support other departments within the company as required and appropriate
  • Undertake proactive continuous improvement programme within the role
  • Any other task as may be required from time to time

  • Maintain an effective stationery system and place orders for stationery/ equipment as required
  • Print and issue commissioning certificates to clients
  • Ensure that the Projects databases are kept up-to-date on a daily basis and data entered accurately
  • Provide Modusat quotations for clients using Procall
